Introduction
NextLevel Automations LLC, doing business as NextLevel CRM ("we," "our," or "us"), operates the NextLevel CRM platform, an all-in-one system for managing contacts, communication, pipelines, scheduling, and payments. This Privacy Policy explains how we collect, use, disclose, and protect information through this website and through the platform.
By using this website or the platform, you agree to the collection and use of information in accordance with this policy.
Information We Collect
Account Information
When you request a demo or open an account we collect your name, business name, email address, phone number, and billing details.
Team Member Information
If you add users to your account, we collect their names, email addresses, phone numbers, and role or permission settings.
Customer Data You Input
The platform stores the business data you put into it. This typically includes your customers' and leads' names, contact details, notes, pipeline and opportunity records, appointments, invoices and payment records, form and survey responses, and uploaded documents.
You are the controller of this data and we act as a service provider or processor on your instructions. We do not sell it or use it for our own marketing. You are responsible for having a lawful basis to collect it and for honouring the privacy rights of the people it describes.
Communication Data
The platform sends and receives email, SMS and MMS, and places and receives calls. We process message content, phone numbers, delivery and engagement metadata, call metadata, and, where you enable it, call recordings and voicemail. Recording laws vary by state and country and you are responsible for obtaining any consent required before recording.
Integration Data
If you connect an external account such as email, a calendar, or a payment processor, we receive the data needed to operate that integration, under the scopes you grant. You can disconnect an integration at any time.
Usage Information
We collect technical and usage information including IP address, browser and device type, pages and features used, and timestamps.
Cookies and Tracking
We use cookies and similar technologies for authentication, preferences, and analytics, including Google Tag Manager and the analytics services configured through it. Most browsers let you refuse or delete cookies, though some platform features require them.
How We Use Your Information
- To provide, operate, maintain, and secure the platform
- To create and administer your account and process payments
- To send and receive the communications you initiate through the platform
- To provide support and respond to your requests
- To send administrative and service messages
- To send marketing communications where you have opted in
- To analyse usage so we can improve features and performance
- To comply with legal obligations and enforce our agreements
AI Processing
Some features use automated and AI-assisted processing, such as summarising conversations or drafting suggested replies. Where a third-party model provider is used, only the data needed for that feature is sent. We do not use your customer data to train models for other customers.
How We Share Your Information
We do not sell your personal information. We share it only as described here.
Platform Infrastructure
NextLevel CRM is built on the GoHighLevel platform. Account and customer data you enter is stored and processed on that infrastructure as part of delivering the service.
Service Providers
We use vendors for hosting, analytics, payment processing, and support. They process information on our behalf and are bound to use it only to provide those services.
Communication Providers
Telephony and email delivery are carried out by third-party providers, which process message content and metadata to deliver your communications.
Legal Requirements
We may disclose information if required by law, subpoena, or other legal process, or where we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
Business Transfers
If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction. We will give notice before your information becomes subject to a different privacy policy.
Data Retention
We retain account and customer data for as long as your account is active. After termination we retain it for a limited wind-down period so you can export it, then delete or anonymise it, except where we are required to retain records by law.
Data Security
We use reasonable administrative, technical, and physical safeguards, including access controls, role-based permissions, and encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Keep your credentials confidential and enable available account protections.
Your Rights and Choices
- Access and portability. You can export your data from the platform or ask us for a copy.
- Correction. You can edit your account information directly or ask us to correct it.
- Deletion. You can request deletion of your account and data, subject to legal retention requirements.
- Integrations. You can disconnect a connected account at any time.
- Marketing preferences. You can opt out of marketing email using the unsubscribe link or by contacting us.
If you are a customer of one of our users, your request should go to that business, which controls the data. We will support them in responding.
California Privacy Rights
California residents may request disclosure of the categories and specific pieces of personal information collected, request deletion, and opt out of any sale or sharing of personal information. We do not sell personal information. You will not be discriminated against for exercising these rights.
International Visitors
We operate in the United States and information is processed there. If you access the site or platform from outside the United States, you consent to that transfer and processing.
Children's Privacy
The platform is intended for businesses. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us and we will delete it.
Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by a new "Last Updated" date, and where appropriate we will notify account holders directly.
